Understand the "No. of Site Collections per User" licensing parameter and how it affects your SharePoint Essentials Toolkit license.

This article applies to the SharePoint Essentials Toolkit Enterprise Suite product.

Question

What is No. of Site Collections (per User)?

Answer

This is the number of SharePoint Site Collections that this tool is going to manage, it is per end user (who will install this tool on their machine). The No. of Site Collections should include all Site Collections across all web applications and farms that will be managed by the tool.

The SharePoint Essentials Toolkit Enterprise 100 edition allows up to 100 Site Collections per user.

The tool was designed for SharePoint Site Collection Administrators, Site Owners and Content Owners.

Once you use the tool to build a report, fix links, move content, etc - a Site Collection License will be allocated for the Site Collection(s) involved. You can change Site Collections licensed if a Site Collection was used as a test or added by mistake, by contacting Technical Support.

You cannot change the licensed Site Collections once they are allocated, unless the Site Collection(s) have been retired/archived/deleted and are no longer in production use. Please contact Cognillo support to request a passcode and instructions on how to remove unused licensed sites.

You only need to license the SharePoint Site Collections that you need to manage with the tool: For example, you may have 200 SharePoint Site Collections in your environment, but only need to check permissions or build broken link reports for 75 SharePoint Site Collections, therefore you can choose to license 100 Site Collections (even though your environment has more than 100 SharePoint Site Collections).

Currently, we offer two options for the number of sites to license:

  • 100 Site Collections

  • Unlimited Site Collections

To view all SharePoint Site Collections in your environment, please see:

SharePoint On-Premises (use Central Administration to view a list of all Site Collections)

SharePoint Online (use the SharePoint Admin Center to view a list of all Active Site Collections)

For Example:

  • If you need to use the tool for roughly 500 Site Collections (fix links, manage permissions, etc), you can:
    1) Purchase Enterprise Unlimited for 1 or more users
    2) Purchase Enterprise 100 for 5 users (100 Sites per user). This will provide a total of 500 Site Collections (100 per user).
