Privacy Policy
Effective February 1, 2026
Cognillo is committed to protecting your privacy and handling your personal information responsibly. This Privacy Policy explains what data we collect, how we use it, and the rights you have over your information. It applies whenever you use our products, website, and services (collectively, "Services").
Personal Information We Collect
We collect personal information only to deliver the Services you have opted into. If you choose not to provide certain information, we may be unable to offer the corresponding Services. You may delete your Cognillo Account at any time to remove your data, subject to legal retention requirements.
Examples of personal data we collect:
- Email address — used for account identification and as our primary communication method.
- Name, address, phone number, and contact details — used for registration, delivery (if applicable), and billing verification.
- Payment information (e.g., credit card or bank details) — used solely to process transactions for products or services.
- IP address and device identifiers — used for fraud prevention, security, warranty registration, and support.
- Other voluntarily provided information — stored as needed based on the context in which it was provided.
Non-Personal Information
We may collect aggregated, non-identifying information to improve our Services. For example, we track anonymized browsing data to understand which topics and content are most relevant to our users.
Your Rights
Depending on your jurisdiction, you may have the following rights regarding your personal data:
- Right to delete — Request deletion of data we no longer need to provide Services to you.
- Right to correct — Update or correct inaccurate personal information. You can modify your contact details through your Cognillo Account, or contact us for changes you cannot make yourself.
- Right to restrict or object — Request that we stop or limit processing of some or all of your personal data.
- Right to access — Request a copy of the personal data we hold about you.
- Right to portability — Where applicable, receive your data in a structured, commonly used format.
To exercise any of these rights, contact your account manager or submit a request through our contact page. We will respond within 30 days. In certain circumstances, applicable laws may permit us to decline or limit a request.
Legal Basis for Processing
We collect and process personal data only where we have a lawful basis: your consent, performance of a contract, compliance with legal obligations, or legitimate interests that do not override your rights and freedoms. We do not share your personal information with third parties for direct marketing purposes.
Surveys & Questionnaires
We may occasionally conduct surveys or issue questionnaires. Participation is always voluntary. Where consent is obtained, we may use the information to generate aggregate reports and to contact you for feedback on our products and services.
Purchases & Transactions
When you purchase a product or service, we collect your name, billing address, phone number, IP address, and payment method to process the transaction. We may also use this information to verify credit (with your consent), apply discounts, and generate receipts accessible through your Cognillo Account.
We use Stripe as our payment processor. Cognillo does not directly store your credit card number or CVC. Payment information is handled securely by Stripe in accordance with PCI DSS standards. For more information, please review Stripe's Privacy Policy.
We may share your information with agents, contractors, and service providers solely to process your transaction (e.g., payment authorization, order fulfillment, shipping).
Data Retention for Purchases
Purchase history, including billing information, is retained for a minimum of four years per legal requirements. We retain data indefinitely when an order includes a perpetual license, license renewal, extended support, or is needed for financial or legal purposes. Deleting your Cognillo Account will forfeit all purchased licenses; transaction history will be removed after the minimum legal retention period.
Technical Support
When you contact Technical Support (via our website, live chat, or phone), we collect the information needed to investigate and resolve your request. Phone calls may be recorded with your consent. You can view and track support tickets through your Cognillo Account.
In some cases, you may be asked to provide remote access credentials. These are retained only until the ticket is resolved. Support tickets may be escalated internally, but access to your data is restricted by employee role.
Files uploaded to support tickets are retained for historical tracking. You may delete them at any time through the support portal. Communication and survey records are retained for a minimum of three years for auditing purposes. After removing personal information, we may retain technical details for product improvement.
Automatically Collected Information
When you visit our website, we automatically collect general usage data including your IP address, browser type, referring URL, pages visited, time spent, and content downloaded. This information is not linked to your personal data and is used to improve our website and generate aggregate usage reports.
