Audit broadly accessible content and sharing links before a Copilot rollout. Start with permissions, not a promise that a readiness score can certify your tenant.
How do I find oversharing before turning on Microsoft 365 Copilot?
Review content accessible to broad groups, anonymous sharing links and guests before expanding Copilot use. SharePoint Essentials Toolkit provides Open to Everyone, guest access, sharing-link and unlabeled widely shared file reports. Use these as evidence for owner review rather than an automatic readiness certification; broad access can be intentional and needs business context before you remove it.
Select a pilot set of sites and connect with the required reporting permissions.
Run Open to Everyone, Sharing Links and Guest & External Access reports.
Review widely shared unlabeled and stale content with its owners.
Approve changes, rerun the reports and retain before-and-after evidence.
How do I find files shared with Everyone or Everyone except external users?
Run Sites & Content Open to Everyone and inspect the access route for each result. The toolkit identifies Everyone, Everyone except external users, All authenticated users and Anyone links, with configurable domain-group and membership thresholds. Microsoft warns that broadly shared content can surface in Copilot results for internal users, so review the content’s sensitivity as well as the grant.
Choose the Open to Everyone report or permissions preset.
Set any organization-specific broad groups and member thresholds.
Review files, folders and parent grants; agree the intended audience with the owner.
How do I list and clean up SharePoint sharing links?
Run a Sharing Links Report to review link type, scope, expiry and recipients where the connection exposes those details. Filter for Anyone links, external recipients, no expiry or upcoming expiry. From supported report actions, remove or narrow links and change expiry after approval. Community and Professional allow up to 10 changes per Apply; Enterprise removes that action cap.
Enable sharing-link details and configure app registration for the additional directory and link information required.
Inspect Anyone, Organization and Specific people links, including their recipients and expiry.
Approve a small set of changes with the owner; apply the supported actions.
Rerun the report and verify intended users still have access.
Does fixing oversharing guarantee a safe Copilot rollout?
No. Cleaning up SharePoint access reduces one important risk, but it does not certify Microsoft 365 Copilot readiness or replace information governance. Combine permissions review with sensitivity labels, retention, identity controls and employee guidance. Keep reviewing access after rollout because new sharing links and group changes can reopen content that was previously restricted.
Use a pilot and document accepted exceptions.
Schedule daily or weekly oversharing monitors for selected sites.
Review new broad links or guests with owners and retain the change evidence.
